Job Description
We are looking for an experienced Project Manager to join our team and help lead exciting and dynamic projects within the live events industry. If you have a strong background in tent and mezzanine installations, along with experience managing special events, we want to hear from you! This is a great opportunity for someone with a passion for sports management, event coordination, or those experienced with rental equipment and temporary structures.
As a Project Manager, you will oversee the full lifecycle of projects, from planning through execution, ensuring they are completed on time, within budget, and to the highest standards. You will take ownership of your projects, coordinate teams, and communicate effectively with stakeholders to ensure a smooth process from start to finish.
Key Responsibilities:
Initiating & Planning Phase
Review and interpret drawings to evaluate project needs, including inventory and fabrication requirements.
Collaborate with the team to order necessary equipment and materials.
Review client contracts, ensuring all milestones and stipulations are communicated clearly.
Plan labor needs for both erection and dismantling of structures, and establish processes for the project.
Build and manage project budgets, ensuring costs align with planned activities.
Secure necessary permits from local authorities when required.
Conduct site visits and pre-planning meetings to review project scope and coordinate with vendors.
Ensure all required rental equipment (e.g., forklifts, trucks, shoring) is scheduled and returned.
Execution & Monitoring Phase
Manage the build and strike dates, adjusting as needed and notifying relevant teams of any date changes.
Visit job sites regularly to monitor progress and ensure alignment with project timelines, quality standards, and specifications.
Provide technical support to job teams to ensure compliance with project requirements.
Assist with inventory management and material cycle counts on-site.
Track and update the budget regularly to reflect current costs and margins.
Report any significant changes in the project plan or budget to senior management.
Procure additional materials as needed to complete the project.
Produce weekly progress reports for large-scale projects.
Closing Phase
Assist in final build assessments to capture design changes and prepare for future projects.
Reconcile invoices promptly and work with the team to manage material allocation and project logistics.
Lead post-event reviews, documenting both financial and operational performance to identify opportunities for improvement.
Generate as-built drawings for recurring projects to ensure accuracy in future installations.
Ensure all rental equipment is returned in a timely manner.
Supervisory Responsibilities
Direct supervision of team members is not required, but you will lead cross-functional teams, including Sales, Engineering, and Operations.
Indirect supervision of field labor crews and temporary labor teams to address inventory and operational issues.
Qualifications:
3-5 years of project management experience required, ideally in construction, equipment rental, or event management.
Bachelor's degree or equivalent experience preferred.
PMP certification is a plus, but not required.
Extensive experience with large-scale tent and mezzanine installations and temporary structures.
Familiarity with products such as Höcker HTS, RÖDER, Losberger, or Velderman is preferred.
Ability to manage budgets effectively and demonstrate strong analytical and problem-solving skills.
Excellent communication and interpersonal skills are a must.
Fluent in English (Spanish is a plus).
Must be able to travel frequently to various job sites across the country.
Valid driver's license and ability to operate company vehicles.
Strong organizational and customer service skills.
Work Environment:
Primarily office-based, with frequent travel to outdoor job sites as needed.
